Zoom integration

Connect Zoom and ClientPad creates a Zoom meeting for every appointment booked through your booking page. The join link goes into the confirmation email, the reminders and the calendar invite, and the meeting is moved or removed when the booking is rescheduled or cancelled.

What you need

  • A ClientPad account with at least one booking link (Scheduling → Booking links).
  • A Zoom account. Free and paid Zoom plans both work.

Connect Zoom

  1. In ClientPad, open Scheduling.
  2. Under Video calls, click Connect Zoom.
  3. Sign in to Zoom if asked, then click Allow on Zoom's permission screen.
  4. You are returned to Scheduling with your Zoom account shown as Connected.

Each team member connects their own Zoom account, so meetings are created under the person the appointment is with.

Use Zoom on a booking link

  1. Open the booking link from Scheduling → Booking links.
  2. Under Details, set Where to Zoom.
  3. Save.

From then on, every booking made through that link gets its own Zoom meeting. The booking page itself says “Zoom” so people know what to expect; the join link is only sent to the person who booked.

What ClientPad does with Zoom

  • Creates a meeting when a booking is confirmed — a scheduled meeting with the appointment's title, start time, duration and time zone.
  • Updates the meeting when the booking is rescheduled.
  • Deletes the meeting when the booking is cancelled.
  • Reads your account's email address once, when you connect, to label the connection.

ClientPad never reads your other meetings, recordings, contacts or settings, and never joins a meeting. It only touches meetings it created for your bookings.

Where the join link appears

  • The confirmation email the booker receives.
  • Reminder emails, if the booking link sends them.
  • The calendar invite (.ics) attached to the confirmation.
  • The event on your own connected calendar, as its location.
  • Scheduling → Upcoming meetings, as “Join video call”.

Data stored

ClientPad stores the Zoom access and refresh tokens it is granted, encrypted at rest, and decrypts them only in memory for the moment of an API call. It stores your Zoom account's email address, and for each meeting it creates, the Zoom meeting ID and join URL. Nothing else from Zoom is stored.

Disconnect Zoom

  1. Open Scheduling → Video calls.
  2. Click Disconnect next to your Zoom account.

Disconnecting revokes ClientPad's access with Zoom and deletes the stored tokens. Booking links set to Zoom keep working for bookings already made, and new bookings on them will fail to get a meeting until Zoom is connected again. You can also remove ClientPad from the Added Apps page of your Zoom account.

Troubleshooting

  • Zoom isn't offered under Where. Connect Zoom first under Scheduling → Video calls. The option is greyed out until a Zoom account is connected.
  • A booking has no join link. Check Scheduling → Video calls for a status of “Needs reconnect” and reconnect. Zoom may have revoked access if the password changed or the app was removed from the Zoom account.
  • Reconnecting picks the wrong Zoom account. Zoom pre-selects whichever account the browser is signed in to. Use the switch-account link on Zoom's sign-in page, or sign out of Zoom first.
